Your managers spend an average of 2 hours a day on their inbox.
Sorting, prioritising, drafting, following up. Time-consuming, repetitive tasks that create no value but cannot be ignored.

Until now, bringing AI directly into Outlook came down to a single choice: Microsoft Copilot. With its share of constraints, licence costs and rigidity.
On 7 May 2026, Anthropic changed the game.
Claude is now available in Outlook as a public beta. And behind this announcement, the whole way companies handle email is changing.

In this article, we explain what it changes in practice, how to roll it out, and which teams have the most to gain.

Why Claude's arrival in Outlook is a turning point for businesses

For months, IT directors and HR directors who wanted AI in their email had only one viable option: Microsoft Copilot.
Many companies kept a Copilot licence solely for this email feature!

Today, that monopoly is over.

  • 34.4%
  • of B2B AI spending on Claude in April 2026
  • 50.6%
  • of companies now use paid AI
  • 15 min
  • to process 50 emails with Claude in Outlook
  • +900
  • companies trained by AI Sisters

In April 2026, Claude overtook ChatGPT as the most used AI tool in business.
According to the Ramp AI Index, which measures actual spending across 50,000 companies, Claude accounts for 34.4% of B2B AI spending versus 32.3% for ChatGPT.
A year ago, Anthropic was at 8%.

This massive adoption comes down to one simple factor: rigour. Finance, legal and technical teams began to prefer Claude for its long, complex analyses, its reliability on dense documents and its lack of hallucinations on critical subjects.

And now it is arriving where most day-to-day work happens: the inbox.

50.6% of companies now use paid AI.
The question is no longer whether your teams will adopt AI, but whether they are using it with the right tool!

What Claude actually does in Outlook

Summarise, draft, sort: the three immediate uses

From your Outlook inbox, Claude can now:

Summarise a 20-email thread in 3 sentences - no more scrolling through endless threads to find a decision made ten days ago.

Draft a complete reply from a quick description - you say what you want to reply.
Claude drafts, you review. You send.

Read attachments directly in the conversation - no need to open the attached PDF and copy-paste its content.
Claude
reads it and incorporates it into its reply.

Identify priorities in a cluttered inbox - urgent items, points of attention, informational emails:
Claude sorts them for you.

The real advantage: shared context across all your Microsoft apps

This is where Claude gets a real head start over competing solutions.

Claude keeps the full memory of your work across Microsoft applications.
You start in Outlook on a report received by email. You switch to Word to write the summary note.
You open PowerPoint to prepare the deck.

Claude follows the whole context, without you having to re-explain everything at each step.

In practice, the flow looks like this:

Step 1 — You receive a report as an attachment.
Claude reads it in full from Outlook.

Step 2 — You open Word for the summary note.
Claude already knows what the report contained.

Step 3 — You prepare the PowerPoint deck.
Claude builds the slides from the same context.

No more copy-pasting between tabs. No more "remind me what you told me".

The practical use case: 50 emails processed in 15 minutes flat!

You are back from three days of travel. 87 unread emails.
You do not know where to start and you spend two hours sorting before your real day has even begun.

Here is the 4-step method with Claude.

Step 1 — Activate the Microsoft 365 connector in Claude

Go to Claude settings "Connectors" section Microsoft 365.
Connect your Outlook account. Set-up takes 2 minutes.
Available on all paid Claude plans.

If you are in a company: your IT administrator must first authorise the connector from the Microsoft Admin Center.
Once approved, you activate it yourself from your settings.

Step 2 — Ask Claude to access your inbox

Once the connector is activated, open a new conversation in Claude. Simply type:

"Access my Outlook inbox and list all my unread emails since [date]."

Claude retrieves and reads them, attachments included.
You have nothing to copy and paste.

Step 3 — Copy this prompt

"You are my inbox management assistant. Analyse all my unread emails since [date] retrieved from my Outlook and sort them into 3 categories: [URGENT - reply required today], [IMPORTANT - reply within 48h], [INFO - no reply needed]. For each urgent and important email, draft a professional, warm and concise reply. Include the recipients, subject line and body of the email directly. Adapt the tone to the person: more formal for a client, more direct for a colleague. Flag any email that requires an action other than a reply — a meeting to schedule, a document to send, an approval to obtain. Summarise in 3 lines the important things I missed."

Step 4 — Review and send

Two scenarios depending on your set-up:

Via the Claude connector in the Claude interface: Claude prepares the drafted, sorted replies in the conversation.
You copy and paste the drafts straight into Outlook, review them in 30 seconds and click "Send".

Via the Claude add-in in Outlook (public beta): the drafts arrive directly in your Outlook inbox: recipients, subject and body already filled in.
You do not even need to switch windows.

In both cases: Claude never clicks Send for you. You stay fully in control.

What used to take 2 hours now takes 15 minutes!

Let's talk about your project

Which teams have the most to gain from Claude in Outlook

The benefits are not the same for every role.
Here are the profiles for whom the gain is most immediate and most visible.

Senior leadership — Sort 50 emails after a trip in 10 minutes.
Leave with the day's 3 priority actions, and delegate to Claude whatever does not need your judgement.

Sales teams — Client follow-ups drafted automatically.
No opportunity falls through the cracks for lack of follow-up. The pipeline stays clean even after a busy week.

Human resources — Replies to candidates, managers and team requests handled in bulk.
20 minutes is enough where it used to take half a day.

Finance — Invoice approvals, reporting requests and budget alerts prioritised and handled without friction.

Middle managers — Come out of meetings with emails already handled.
Start each day with a clean inbox and priorities identified.

What you really gain is not just time.
It is the ability to never let a decision, a follow-up or an opportunity slip because Claude takes care of it while you do what only you can do.

How to prepare your organisation for a successful roll-out

Rolling out a tool is not enough. What we have seen in the field for 3 years: the tools that are adopted for the long term are the ones for which teams have been trained on their real business cases.

A few pointers for a successful roll-out.

Start with 10 to 20 pilot users, and choose the profiles with the highest email volume and the greatest appetite for digital tools.
They are the ones who will lead the way.

Build a library of prompts by role. The prompts that work for a salesperson are not the same as for someone in HR.
Document what works and share it across the organisation.

Identify internal AI ambassadors.
Employees trained in depth, able to bring their colleagues on board, answer day-to-day questions and keep adoption going over time.
This is the model we are rolling out today at Le Figaro, AstraZeneca, Tikehau Capital and more than 25 organisations.

Base the training on real business cases, not fictional exercises.
Every prompt worked on must be reusable the next morning; that is the condition for lasting adoption.

That is exactly what AI Sisters does: train your teams on Claude, on your real tools, with results from the very first session.

Frequently asked questions about Claude in Outlook

Is Claude in Outlook available to all companies?

Yes. Since 7 May 2026, Claude for Outlook has been available as a public beta — no invitation required. It works on Windows, Mac and the web version of Outlook. A paid Claude plan is required. For a company-wide roll-out, your IT administrator must authorise the connector from the Microsoft Admin Center.

Can Claude send emails on my behalf?

No. Claude drafts replies and sorts them by priority, but it never clicks Send for you. You keep full control over every message before it is sent. This is a fundamental principle of Claude's design.

How is Claude in Outlook different from Microsoft Copilot?

Copilot is deeply integrated into the Microsoft 365 ecosystem and has native access to Teams, SharePoint and calendar data. Claude stands out for the quality of its long-form reasoning, its handling of complex documents and its context shared across applications. The two can coexist depending on your uses and your infrastructure.

Is our email data secure with Claude in Outlook?

The current beta is not yet covered by Anthropic's Enterprise audit logs. For inboxes containing sensitive or regulated data — finance, health, legal — we recommend rolling it out with the appropriate internal controls and waiting for the full Enterprise version for the most critical uses.

How can you train your teams effectively on Claude in Outlook?

The key: work on your teams' real business cases from the very first session. A salesperson does not have the same needs as someone in HR or a finance director. AI Sisters offers tailor-made training, Qualiopi-certified and OPCO-fundable, so that your employees leave with operational prompts they can reuse the very next day.
